The short version

We only collect what we need to talk to you, run your audit, and deliver your work. When we build inside your own tools, the candidate and client data stays yours, we just handle it on your instructions. We do not sell your data. You can ask to see it or have it deleted at any time.

2. The two ways we handle data

This matters, so we have made it plain.

When we are the controller

For our own website visitors, prospects, and client contacts, we decide how and why your information is used. This policy governs that.

When we are the processor

When we build and run systems inside your own tools, we handle candidate and client records on your behalf and on your instructions. In that work you remain the controller of that data, and the processing is governed by the agreement we sign with you, including its data protection terms. We do not use your candidates' data for our own purposes.

3. What we collect and why

When you visit the site

Basic analytics such as pages viewed, rough location, device and browser. We use this to understand what is useful and improve the site. See cookies below.

When you book an audit or get in touch

Your name, email, company, and anything you choose to tell us. Bookings are taken through our scheduling tool so we can hold the call and follow up. We use this to respond to you and prepare for your audit.

When you become a client

Business contact details, billing details, and the information needed to scope and deliver your build. We use this to run the engagement and meet our legal and accounting obligations.

Data we process for clients

While delivering a build we may handle candidate and client records held in your systems. We process this only to do the work you have asked for, under your instructions, as set out in section 2.

5. Cookies and analytics

We use a small number of cookies to make the site work and to measure traffic. You can refuse non-essential cookies through your browser or any cookie controls we provide, and the site will still work.

6. The tools we rely on

We use trusted third-party providers to run our business, which may process data on our behalf. Depending on the work, these can include providers for scheduling and bookings, AI processing, databases and CRMs, call recording and summaries, workflow automation, cloud storage, email, and analytics. We only share what each provider needs, and a current list of the providers used on your engagement is available on request.

7. Sharing your information

We do not sell your data. We share it only with the providers above, with professional advisers such as our accountant where needed, and where we are required to by law.

8. Where your data is processed

Some of our providers are based outside the UK. Where data is transferred internationally, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses so it stays protected.

9. How long we keep it

We keep personal data only as long as we need it for the purpose it was collected, or as long as the law requires. Enquiry data is kept while we are in contact and for a reasonable period after. Client records are kept for the engagement and the period our legal and accounting duties require, then deleted or anonymised.

10. Your rights

Under UK data protection law you can ask to access your data, correct it, delete it, restrict or object to how we use it, or receive a copy to move elsewhere. To exercise any of these, email hello@belo-ai.com and we will respond within the time the law allows. If a request concerns candidate data held inside a client's system, we will direct it to the relevant client, who is the controller.

If you are unhappy with how we have handled your data, you can complain to the ICO at ico.org.uk, though we would appreciate the chance to put things right first.

11. Security

We take reasonable technical and organisational measures to protect your data, and we work inside your own secured environments wherever possible rather than copying data out of them.

We may update this policy from time to time. The date at the top shows when it last changed. Significant changes will be made clear on this page.
